This Privacy Policy describes how Sumitra Global Realty Systems (SGR) collects, uses, and discloses information in connection with our professional property management marketplace and automated guest journey services.
Enterprise & B2B Scope
SGR provides a B2B-Only Service. Our platform and infrastructure are designed exclusively for commercial use by professional property management entities, real estate investment trusts, and authorized hospitality partners. We do not provide services for personal, family, or household purposes.
1. Nature of Communications
Communication integrity is central to the SGR ecosystem. Users of our platform acknowledge that all electronic communications dispatched through our infrastructure are strictly Transactional and Operational in nature. These include, but are not limited to:
- Time-sensitive Smart-Lock Access Credentials (IoT).
- System Alerts regarding property safety and security.
- Automated Workflow Notifications (Booking confirmations, check-out protocols).
- Legal Rental Agreements and Financial Transaction Receipts.
SGR does not utilize its primary infrastructure for marketing outreach, promotional campaigns, or unsolicited advertisements.
2. Zero Tolerance Spam Policy
SGR maintains a Zero Tolerance Policy toward unsolicited electronic communications. To maintain our network reputation and ensure critical delivery for all partners, the following are strictly prohibited:
- Utilization of purchased, rented, or third-party lead lists.
- "Cold" outreach to individuals without a pre-existing contractual relationship.
- Sending content that obscures the identity of the sender or the nature of the transaction.
Failure to comply with these standards results in immediate account termination without refund of service credits.
3. Account Verification & Double Opt-In (DOI)
To ensure the highest level of security and compliance, SGR employs a multi-stage Account Verification Protocol. Every partner entity and subsequent administrative user must complete a Double Opt-In (DOI) verification process via a corporate email address before API keys or notification services are activated.
This ensures that all system-triggered events are authorized by the rightful owner of the digital identity, preventing unauthorized use of our notification infrastructure.
4. Data Collection & Usage
We collect information necessary to execute real estate transactions and secure premises. This includes:
- Entity Data: Legal business name, corporate tax ID, and registered address.
- Operational Data: Guest contact information (for check-in delivery only) and property telemetry.
- Technical Data: IP addresses and system logs for audit trails required by US rental law.
5. Security & International Transfers
SGR utilizes enterprise-grade encryption (AES-256) for data at rest and TLS 1.3 for all data in transit. As a Delaware-based entity, SGR processes data in the United States. We comply with CCPA and relevant international frameworks regarding the secure handling of tenant PII (Personally Identifiable Information).
6. Information Sharing
We do not sell, rent, or trade user data. Information is shared only with third-party service providers (such as infrastructure hosts and IoT hardware partners) who are contractually obligated to maintain data confidentiality and are prohibited from using the data for marketing purposes.
7. Partner Obligations
By using SGR, partners agree to maintain their own internal privacy policies that are at least as restrictive as this document. Partners are responsible for ensuring that their guests have consented to receive transactional alerts related to their stay as per local jurisdiction requirements.
